This is the same function that prices your real bookings. One file. The client's booking form, your booking screen and the quote your client accepts all call it. They cannot disagree.
01 Where this number comes from
Seasons. You set the dates and the nightly rate for each one. A booking that spans two seasons is charged separately for each period—not based on an average. The customer sees a breakdown of the cost for each period.
A price per boat, per season. The season sets the calendar. Each boat carries its own price for that season.
Discounts. Early booking, last minute, and longer stays. You choose the percentage and the threshold.
They never stack. If two of your rules qualify, the client gets the bigger one, and only the bigger one. Ten percent and five percent is ten percent off, not fifteen. You can never give away more than the single best rule you wrote.
Day charters work too. Same day out and back is priced and blocked like any other charter.
02 Then you send it
The part that wins the job, and the part that stops you re-typing.
You build the quote in Appoploo and send the client a link.
The client opens it on their phone. No account, no password, no app. They see the same season rows and the same total you see.
They press Accept. Appoploo creates the booking and holds those dates while you agree the deposit. You get a link to send them for the charter itself.
If someone else books the same dates in the seconds between, Appoploo cancels its own booking rather than let two charters exist. Nobody has to phone anybody.
03 The one mistake you cannot apologise for
Back-to-back works. One charter ends Saturday, the next starts Saturday. That is a turnaround, not a clash.
A reserved date for which no payment was made is automatically released. You do not need to remember to release it.
If the check cannot run, the booking is refused. Appoploo would rather annoy you than sell the same week twice.
Two people pressing Accept in the same second still produces one booking.
04 After the yes
Invoices with VAT. A new invoice starts at 24%, the normal Greek charter rate. Change it per invoice or set it to zero.
Pro-forma PDFs. A request for payment before the charter, straight from the booking.
APA, kept separate. The advance provisioning allowance is tracked on its own and shown to the client. It never blurs into the charter fee.
Paid and unpaid. Overdue invoices are marked overdue, on the invoice list and on your dashboard.
Crew remuneration based on contracts. Monthly rates are pro-rated by active days. Day rates count only the weekdays that person works.
Expenses per boat. One-off, recurring, or tied to a charter — so a boat's real cost is one number, not a guess.
Recurring maintenance. You complete a recurring task, and the next one awaits you, with its due date already set.
Documents subject to expiration. Certificates bear their expiration date. You are notified before they expire, not after.
Reports. Occupancy, revenue and cost per boat, any date range, exported as CSV.
05 Your own booking page
Each account features a public page showcasing your boats and photos, along with the starting price per night. You can share the link via WhatsApp or add it to your Instagram page. The customer selects dates, sees the price calculated exactly as you just saw it, and submits the request. This appears directly in your booking list. Appoploo also generates a QR code for you. Print it out and place it wherever you like. This way, anyone walking along the pier can see the weekly rate without needing to find you first.

06 Written for people who did not grow up with this vocabulary
Charter software is written in English, by people who assume you already know what APA means. Appoploo assumes you do not, and explains it where you need it — not in a manual you will never open.
A charter can carry a deposit, a balance, an APA and VAT, and be invoiced pro-forma before anyone steps aboard.

07 What Appoploo does not do
No API, no integrations. Nothing connects to your accountant's software. You export CSV.
Vessel tracking functionality is not provided directly, but you can sign up for via Appoploo Tracker. If you already have an Appoploo Tracker account, we will link your tracking devices so you can monitor your fleet.
No channel manager. Nothing pushes your boats to booking sites.
No contracts, no e-signature. You send the quote link. The signed paper is still paper.
English only, for now. If you need another language, tell us and it moves up the list.
No mobile app installation is required. It is a web application that works properly on a phone.
08 Pricing
Seasonal pricing, discounts, quotes, the calendar, invoices, VAT, APA, payroll, maintenance, documents, reports, the public booking page and the calendar feed are in every plan — including the free one. You pay for boats, crew records and logins. Not for capabilities.
Cancel any time from your own billing page. Nothing is deleted when you downgrade. Prices are per month, VAT excluded.
09 Questions
Will it work on my phone?
Yes. It is built for a phone first. There is no app to install.
Can I invite my captain or my accountant?
Extra logins start on Fleet, at €99 a month. Crew records — names, contracts, pay — are unlimited from Captain up, but a crew record is not a login.
Do you track my boats by GPS?
Not automatically. If you already have the Appoploo Tracker, we will link them for you. You don't need to click on anything.
Can I export everything?
Yes. CSV, any date range, whenever you like. It is your data.
What happens if I stop paying?
Nothing is deleted. You keep what you had on the free plan and the rest waits for you.
Do I have to talk to anyone first?
No. Make an account, add one boat, price a week. If it is not for you, close the tab.
